Sales Administrator

We are currently seeking a Sales Administrator looking for an exciting opportunity to join our Inside Sales team, under the Sales Department. This position is based out of our Waterloo head office, reporting to the VP of Sales, Americas.

Key Accountabilities:

  • Sales logistics
    • Logistics documents – coordinate with logistics to put together required shipping documents when needed (i.e. Proforma invoice)
    • ETA – Track number of hardware sales orders entered versus overall build plan and update Sales Team
    • Provide tracking numbers for sales orders entered when available
  • Maintain Data Integrity
    • Update customer information (ex, shipping/billing address change, contacts)
    • Attach new MSA documents, trip reports to customer page
    • Collaborate with product development, finance and logistics to update product part numbers in NetSuite
  • Order entry
    • Enter sales orders in Netsuite
    • Work with finance team to ensure all finance fields are entered accurately
    • Work with the production team to ensure all part numbers are entered accurately
    • Request for new part numbers to be created when needed
    • Verify accuracy of PO to sales order (i.e. billing/shipping information, pricing)
    • Accurately enter additions/cancellations to evergreen SOs
  • RMA
    • Enter RMAs in Netsuite
    • Process cancellations for Airtime
    • Process lease returns
    • Process no charge replacement SOs
    • Quotes for parts for repairs
    • Quote repair cost in collaboration with support
  • Asset management
    • Asset transfer requests from partners and support
    • Renew care dates
    • Decommission assets
    • Update asset page with important notes when needed (i.e. AT cancellation date on the unit, reason for decommission, etc.)
  • Demo
    • Process demo shipments
    • Process demo replenishment SOs
    • Maintain demo inventory sheet
  • Process Documentation
    • Create and maintain process documentation for the sales team in collaboration with Production, Finance and Logistics (example: how to create an SO, how to enter a dual transmitter order, etc.)
    • Provide suggestions for improvement to Netsuite processes

Assisting Inside Sales with different tasks including, but not limited to, mass billing, assets tracking and meeting planning and organization

Desired Skills & Experience:

  • 3+ years of experience in a sales or business administration focused role
  • Previous experience with a CRM / ERP tool is a must, Netsuite preferred 
  • Excellent MS Office Suite required
  • Post-secondary diploma / degree in Business Administration or related discipline desired although not required
